Trip Planning in 4 Easy Steps

Step 1: Decide if you want a custom program or a co-sponsored program.

SWED7Southwest Ed-Ventures offers 2 options:

a. Custom Trips: This is your date and your itinerary exclusively. Only you sell into it and you design and price it based on our cost + your cost. You handle all registrations and payments.

b. Co-Sponsored trips are marketed and sold by both you and Southwest Ed-Ventures. We feature them in our catalog and on our website. The itinerary and price are a mutual agreement. The price is based on our costs + your costs and sold by both of us at that price. If we sell a seat, we keep the entire trip fee. If you sell a seat, you receive your portion of costs and we receive ours. We close the catalog to co-sponsored trips by August 1 of any given year so that we can mail the catalog by Oct 1 of any given year.

Step 2: Call the Southwest Ed-Ventures Manager to discuss which option works best for you.

Call at least six months in advance of anticipated program start date to discuss itineraries, mode of travel, date availability, approximate cost, and participant minimum and maximum.

Step 3: Southwest Ed-ventures will send you a tentative itinerary with approximate costs.

You may request any changes you want and a new itinerary and cost will be sent to you.

Step 4: When the final itinerary has been agreed upon, a program agreement contract will be sent to you.

Just sign it and return it with a $200 non-refundable deposit and you are set to go! Upon receipt of the program agreement contract by Southwest Ed-Ventures we will confirm the staff, lodging reservations, and other program logistics of your trip. A confirmed itinerary and a final price will be sent to you. If changes need to be made we will discuss them with you first.

Southwest Ed-Ventures will handle all registrations and payments or you may handle your own registrations and payments. Please let us know your preference. If you handle registrations and payments, a payment schedule must be agreed to in writing. Southwest Ed-ventures must be informed immediately upon your receipt of any registrations, to confirm space availability. Registrations must be confirmed via fax to you and/or Southwest Ed-Ventures immediately upon receipt (a fax confirmation form will be sent).
Upon registration and receipt of the $100 per participant deposit, a briefing packet and medical and release form will be sent to each confirmed participant. Each participant must fill them out, sign, and return them to you or Southwest Ed-Ventures unaltered.
