The Canyon Country Discovery Center seeking a motivated, mature professional to support our executive director and leadership team with important administrative tasks. Daily tasks may include assisting in office management, serving as a communications liaison to staff, leading on donor and records management, helping organizational leadership with travel arrangements, supporting donor relations and appeals, and assisting with schedule management. Some tasks may be in support of high-level decision-making or involve confidential information. Qualified candidates must be able to maintain confidentially and exercise discretion to ensure organizational health.

General Responsibilities & Functions

• Develop and carry out an efficient documentation and filing system
• Serve as office administrator to direct communications and correspondence
• Act as the point of contact between the executive and internal staff/external clients
• Assist in preparations for board meetings and other important events
• Collaborate with the business manager and provide support as needed
• Maintain vehicle registrations, manage annual inspections, licensing, and other related tasks
• Answer and direct phone calls
• Organize and schedule appointments
• Plan meetings and take detailed minutes
• Update and maintain office policies and procedures
• Order office supplies and research new deals and suppliers
• Provide general support to visitors
• Handle requests and queries appropriately
• Maintain executive schedule, arrange meetings, and provide reminders
• Other duties as assigned

Necessary Skills and Qualifications

• Excellent organizational, time management, multi-tasking, and problem-solving skills
• High level of professional decorum
• Ability to work in a fast-paced environment
• Excellent customer service skills
• Experience with data entry and software programs required
• Computer literate including knowledge of Microsoft Office and Adobe software (MAC preferred)
• Interest in outdoor recreation and tourism
• Excellent written and verbal communication skills
• Good people skills
• Ability to work as a team player
• Interest in supporting the development of a fun, engaging work environment

Successful candidates must possess a valid driver’s license, insurable driving record, and acceptable background check.

Physical/Essential Requirements
To successfully perform essential functions the candidate is required to sit, stand, walk, speak and hear. The Executive Coordinator may be required to climb, balance, stoop, kneel, crouch or crawl on an infrequent basis. He/she must be able to operate office equipment, telephone, and computer.
